When you store files in the specified folder, RICOH e-Sharing Box automatically performs operations according to the workflow you registered in the machine. There are two workflows, Shared Workflows and Personal Workflows. Users registered to the machine can use Shared Workflows.
The machine automatically converts files to those in other format, sends files to a specified folder, and sends an e-mail to notify you that the conversion is complete according to the workflow.
Up to 50 Shared Workflows can be created. Up to 10 Personal Workflows can be created for one user.
File Conversion Format
Files can be converted to the following formats:

If the original file is an image file or a PDF file without text information, the data is converted to a PDF file and images are compressed to reduce the file size. If the original file is a document, it is converted to a PDF file with text information. |

Converts files to a JPEG file for projection while keeping the aspect ratio within 1280 × 800 pixels. |
Document (*.docx) |
Converts files to those in MSWord format (.docx). |
Spreadsheet (*.xlsx) |
Converts files to those in Excel spreadsheet format (.xlsx). |
Presentation (*.pptx) |
Converts files to those in PowerPoint format (.pptx). |
Do not create subfolders under the "3.Workflows" folder. If you drag and drop a folder into the "3.Workflows" folder, an error occurs.
Password-protected files are not supported.
You need to specify page or print settings for jobs using Excel spreadsheet before converting the Excel files to those in other format.
If you select "Document (*.docx)", "Spreadsheet (*.xlsx)", or "Presentation (*.pptx)" as the file conversion format, it may take time to convert files that contain complicated images or pictures. A conversion process is discontinued if:
Processing time per page exceeds 3 minutes
Processing time per file exceeds 10 minutes
Total number of pages in a file exceeds 100
